How to Use Copilot to Get More Out of Your Meetings

Welcome to our Copilot series, where we explore the different ways you can use Copilot to improve productivity.

If you run a business, you’ve probably lived some version of this: you leave a one-hour meeting with three action items rattling around in your head, forget to write them down, and by Thursday nobody remembers who was supposed to send the follow-up.

Meeting notes are one of those tasks everyone agrees are important and almost nobody enjoys doing well. This is also one of the clearest, fastest wins Copilot offers business owners, and it takes almost no setup to start using.

The Problem with Meeting Notes

Most small business meetings fall into one of two categories:

  • No one takes notes, so decisions and action items live only in people’s memory (which fades fast).
  • Someone takes notes, but it pulls their attention away from actually participating in the discussion.

Either way, the result is the same: things fall through the cracks, and someone has to chase down “wait, who was doing what again?”

How Copilot Solves This

If your meetings happen in Microsoft Teams, Copilot can sit in the background and do the note-taking for you, then let you ask questions about the meeting afterward the same way you’d ask a colleague who was paying closer attention than you were.

Getting a Recap

After a meeting wraps up, you can simply ask this tool to recap what the meeting was about. Instead of scrolling back through a transcript or trying to remember, you get a clear, organized summary of what was discussed.

Turning a Meeting into Action Items

This is where it gets genuinely useful for business owners. You can ask Copilot to pull out next steps and turn them into a follow-up email, something like:

Write a follow-up email based on this meeting to keep things moving.

Instead of typing that email yourself from memory (and inevitably forgetting a detail), Copilot builds it from what was actually said in the meeting.

Building the Next Meeting’s Agenda

Copilot can also work in the other direction, helping you prepare. Ask it to draft an agenda for an upcoming meeting, and it can pull structure from previous notes, related documents, or the topic you give it, saving you from staring at a blank page five minutes before the call starts.

Where This Adds Up Fast for a Small Business

  • Client meetings. Send a clean, professional recap to a client right after the call instead of relying on someone’s memory of what was promised.
  • Team check-ins. Keep weekly meetings accountable by turning discussion into a tracked list of who owns what.
  • Leadership updates. Quickly summarize a string of meetings into a short briefing instead of re-reading pages of notes.
  • Fewer dropped balls. The single biggest benefit isn’t the time saved writing, it’s the fact that fewer commitments get forgotten.

A Practical Tip

The more specific your ask, the better the result. Instead of “summarize the meeting,” try “summarize the meeting and list any decisions or action items separately.” You’ll get something closer to what you’d actually use, rather than a generic recap.

Why This Depends on More Than Just Turning Copilot On

Getting Copilot to actually read your meetings and generate accurate recaps requires more than the free Copilot Chat tier. It relies on Copilot being properly connected to your Teams meetings, calendar, and files, which is part of what Microsoft 365 Copilot (Premium) is built for.

It also raises a fair question most business owners ask once they realize how much Copilot can see: if it’s reading meeting transcripts, documents, and calendars, who else can access that, and how is it secured?

That’s exactly the kind of setup question that shouldn’t be an afterthought.
